Vendor Table & Presentation Information

Healing Farms Conference October 2nd & 3rd, 2009

 

Description: A maximum of 32 vendor tables will be available at this year’s conference. These are hotel provided six foot skirted tables with two chairs. No dividers or back walls will be provided. All tables will be located in Atrium and Solarium areas of the hotel (Holiday Inn Airport Conference Center, Little Rock AR), which are open to the public at all times. Actual space for each vendor is approximately nine feet by nine feet.

 

Promotion: Specific efforts are being made to encourage conference attendees as well as the general public to visit the vendor’s area.

Examples:

  1. Friday  from 5:00 - 7:00 p.m. is a meet the speakers reception which will take place in the vendor area

  2. There are breaks between the concurrent sessions and meals providing unopposed time during which attendees will be directed to visit the vendors

  3. A presentation stage where vendors and others can make short (20-25 minute) presentations will be set up at the far end of the vendor area. Presentations or entertainment will be provided for free to the public on that stage throughout the day on Saturday to draw people through the vendor area. (see below for more information about presenting on this stage)

  4. Our print and other advertising include the statement, “Vendor’s Presentations & Booths Open to the Public All Day Saturday.”

  5. All registered (paid) vendors will be listed on the conference website within 48 hours of receipt of payment. Listing will include: Company name, individual’s name (if desired), contact information including address, phone number, live website and email links, and a short description of products and services offered. This same information will be listed in the conference program.

 

Vendor Presentations: Thirty minute time slots are available for vendors, presenters and others to make presentations to the public from 9:00 a.m. until 7:30 p.m. on Saturday. Time slots will be assigned on a first come (paid) first served basis. Presentations must be of an informative/educational nature, not a sales pitch. Vendor presentations will be promoted in much the same manner as the vendors themselves. (see the promotion section line 5 for more information)

 

Set Up: The vendor area will be accessible no later than 2:00 p.m. on Friday, October 2nd. All vendors must complete set up by 4:30 p.m. that day and remain set up through 7:30 p.m. on Saturday, October 3rd. Vendors may bring display cases, display stands, additional tables, etc. at no extra charge provided they are placed within the assigned space and do not interfere with other vendors. Electrical service is available but you need to bring your own extension chord and must request it when registering a table so we can place you near an outlet.

 

Investment: Vendor tables are available on a first come (paid) first served basis for $95.00 each ($75.00 for Healing Farms Awareness Network members, keynote and concurrent session presenters, and registered attendees of the full conference). Purchase of a vendor table does not qualify as registering for the conference. If you wish to attend any of the meals, keynotes, concurrent sessions or other conference events, other than those open to the public you must be a registered conference attendee. The discounted registration fee of $95.00 for the full conference ($50.00 off the standard registration fee) is available to all paid vendors.

 

Healing Farms, its affiliates, associates and the hotel are not responsible for your merchandise. We will have our own security person in addition to the hotels security personnel watching the vendor area from the close of the conference on Friday evening (9:30 p.m.) until the opening of the conference on Saturday (7:30 a.m.) however, this dose not constitute responsibility for any missing items or merchandise.
